RestroFood Order Status Change Email Notification feature sends customers an automatic email whenever an order moves to a new stage, whether that change happens from the orders list or from inside a single order. Every stage has its own email template, all managed from one Email Settings screen.
Where Order Statuses Get Changed
1. The Orders List page
At the top of the orders list is a row of stage tabs, each with a live order count:
- New Order
- Accepted Cooking
- Cooking Completed
- On The Way
- Delivery Completed
Below that, the order table has these columns: Order ID, Receipt No, Order Date, Delivery Date/Time, Delivery Type, Payment Method/Status, Tracking Status, Status Action, View Order.
For example, order #3599 (placed August 30, 2026, ASAP delivery, In-Restaurant Table Number TSNA784, Cash on Delivery) shows two separate status indicators:
- Payment Method/Status: “Status: Processing” – this is the underlying WooCommerce order status.
- Tracking Status: “Ready To Pickup” (shown as an orange badge, “7 minutes, 34 seconds ago”) – this is RestroFood own kitchen/delivery stage.
Each row also has a Status Action dropdown (“Select Status”) to change that order’s tracking status right from the list, plus a View Details button to open the full order.
Step 1: Open Email Settings
- Log in to your WordPress admin dashboard.
- In the left-hand admin menu, click RestroFood.
- In the settings sidebar (General, Location Settings, Delivery Settings, Kitchen Options, Order Received Page, Page Settings, Checkout Fields Settings, Color Settings, Email Settings, Status Text, Text Edit, Invoice Settings, In-Restaurant, Tips), select Email Settings.
Step 2: Turn On Notifications
Two toggles sit at the top:
- Active Email Notification – enables order-related emails to customers. (Shown as YES.)
- Active Delivery Boy Assign Email Notification – enables an email when a delivery boy is assigned to an order. (Shown as YES.)
Step 3: Assign a Template to Each Order Event
Below the toggles, every order event has its own row with a dropdown to select that event’s email template:
- Order Cancel Email Template
- Send To Cooking Email Template
- Accept Cooking Email Template
- Cooking Complete Email Template
- On The Way Email Template
- Delivery Complete Email Template
- Order Accepted Email Template
- Order Failed Email Template
- Pre Order Email Template
- Order Processing Email Template
- Ready To Deliver Email Template
- Ready To Pickup Email Template
- Order Placed Email Template
- Delivery Man Order Assign Email Template
The Order Processing and Ready To Pickup templates correspond to real statuses seen on live orders: “Status: Processing” and “Ready To Pickup” both appeared on the orders list example above, confirming these aren’t just settings-page labels but actual order states customers move through.
Step 4: Save
Click Save Setting (available at both the top and bottom of the page) to apply your changes.
Recap
- Go to RestroFood → Email Settings.
- Turn on Active Email Notification and Active Delivery Boy Assign Email Notification.
- Assign a template to each of the 14 order events.
- Click Save Settings.
From then on, whether a status is changed from the orders list’s Status Action dropdown or from an individual order’s Tracking Status Action buttons, the customer automatically gets the matching email.
